Improving Clinical Workflows for InterRAI at PHSA
Streamlined clinician's workflow and data entry time by redesigning long static questions into compact but contextual formats.
Introduction
Overview
Requirements & Specifications
Role: Systems Analyst & UX Designer
Tools: Figma
Timeline: 1 month
Problem —
InterRAI's current intake assessment form was long, tedious, and cluttered with excessive scrolling and clicking. It impacted clinician's time and workflow.
Business Requirement —
Improve data entry efficiency by reducing the number of required clicks and optimizing the layout of form questions into a more compact & dynamic format, while still capturing all mandatory clinical information documented by SMEs and RNs.
Key Features

Design Requirements
Reference from RN & SME: an Excel draft outlining two fixed appointment entries, designed to meet baseline documentation requirements.
Dynamic Appointment Management
Design Solution
Dynamic add-and-collapse design. No appointments = no clutter, while adding entries unfolds a streamlined accordion list.

”That's actually helpful because often times, clients won't have any scheduled appointments.”
- Clinical Stakeholder (Nurse)
Design Feedback
Clinicians liked the appointments redesign for keeping workflows efficient and most importantly - flexible.
Problem — Blank static fields caused for unnecessary space.
Design Requirements
Initial RN & SME Draft - Static code entry field with a manual legend reference.
Dynamic Code Input
Design Solution
Smart code input: type the code, see the matching options unfold automatically.

”That was so much information condensed so nicely.”
- Clinical Stakeholder (Nurse)
Design Feedback
Clinicians appreciated the redesign for creating a cleaner, easier-to-use system without losing any critical detail.
Problem — Users had to manually cross-reference codes.

Design Requirements
Reference from RN & SME: Static vaccine list with mandatory 'Date Last Given' fields, even if vaccine may not have been selected/ticked.
Immunization Screening Selection
Design Solution
Smart code input: type the code, see the matching options unfold automatically.

Design Feedback
Clinicians appreciated that vaccination fields only appeared when needed, keeping the form cleaner and eliminating irrelevant inputs.
Problem — Date fields were showing by default, even if option was not selected, which takes up unnecessary space.
